We must
have a completed and signed Canoe Outpost-Peace River, Inc. Credit Card
Authorization (CCA) on file before your paddle trip to hold your reservation.
The CCA is to hold the canoe, kayak, camping gear, bus slot etc. We do not
charge the card unless you do something stupid like don't call and cancel
when
you're not coming (see conditions below) or you ask us to use it to pay for
your reservation either as a pre-pay or pay for your trip or make other
purchases. Once you sign the CCA you agree to the conditions held within
this document as well as the CCA. We do have the ability to pre-authorize
a
credit card i.e. make sure the card is good. We must have a signature on the
form as we are not bonded like a hotel and therefore can't charge your card
without a signature. Once you fax or mail your card in, there is no need to
call and confirm we got it. We will let you know if we didn't get it. A CCA
form can be faxed, mailed, or e-mailed (PDF format) to you.
You do not have a reservation until
we have the completed CCA or you have pre-paid in full either with a company
check, cash,
or by credit card on the phone. Those who send in their CCA's have top
priority at the check-in window meaning you might have to wait while those
that got their CCA
in prior to the trip are checked-in first.
If we do not
have your CCA by 4:00 p.m.
two days prior to the trip, we will have to automatically cancel your trip, we
won't call, we won't fax, we won't email. Example: a Saturday reservation needs
a CCA on file by Thursday at 4:00 p.m. to avoid cancellation. We may
contact you earlier for confirmation if it is any extremely busy weekend and/or
holiday. We will not charge your card if
there are bad weather and/or bad river conditions and you don't show but just
because if it's raining where you are doesn't mean it's raining where we are!.
When we're slow we usually don't need one for day runs or just one or two
overnight canoes.
If you desire, let us know and we will keep
your CCA on file for future use (a lot of regular paddlers do this).
Otherwise, we shred the CCA's within 14 days of your trip unless there are any
charges still pending i.e. damages etc.
We require a Credit Card
Authorization (CCA) for the following conditions:
1. Busy and/or Holiday Weekends: A busy
weekend is usually February through June, October, and November.
If the weekend is busy and we have a
waiting list, you must send in a CCA asap. The CCA insures you are serious
about your reservation. If we call and ask for the CCA and don't receive it,
we will have to cancel your reservation because others are waiting for your
canoes. On the day of the trip and we are booked out, you will be charged
full
price for any canoes, kayaks, and/or camping gear not rented because any
equipment you don't take could have been rented to someone else (we had to
turn business away). On a holiday weekend, always send in a CCA, this applies
to all trips, overnight and day, no matter the number of canoes. You have the
opportunity to make changes to your reservation without penalty 48 hours prior
to your trip. Personal canoes/kayaks/boats cannot be substituted for rentals
upon arrival. Note: During this time of year (March,
April, May) we need a CCA asap. At least within one week of making your
reservation, at least 7 days before the scheduled trip. If the CCA is not in
our office we will be forced to give your spot on the bus and/or canoes or
campsite to someone else. We are booking out weeks in advance on some runs.
If we call for a CCA, please be prompt in getting it to us, if we have to
wait
more than 3 days, you will be cancelled. Because of the popularity of the camping
at Oak Hill, we now must have a completed CCA form to hold your canoes and
camp area.
2. Outfitted Camping Gear: A CCA is required
on all outfitted camping gear to cover any damages and/or losses. We also
require a CCA to cover the time and effort we make to pack, prepare and
transport the camping gear. If you show up the day of the trip and decide you
don't want the camping gear, a service fee of $25.00 plus tax is charged for
each outfitted box. We suggest that each outfitted canoe have their own CCA
when there is more than one, unless one person is brave enough to put it all
on their card. Be careful here, you never know what kind of jerk your
"friends" can be when they had a little too much sun and fun.
3. A CCA is required for all overnight canoe
groups of 3 or more. We have found that with a CCA, paddlers are more inclined
to show up or at least call and cancel. With prior confirmation, we can plan
on staff requirements accordingly and try to keep our overhead down.
Personal
canoes/kayaks/boats cannot be substituted for rentals upon arrival.
4. Reservations for groups require a CCA
because we have to bring in extra staff to handle groups. A service fee of
$25.00 plus tax is charged for each canoe/kayak not taken on regular weekends,
full price is charged on a busy or holiday weekend to cover the wages of extra
staff. We ask that you keep us informed of any changes in your reservation.
5. Other things (stupid things that people do)
that could incur charges via your CCA: burning holes in our tents (you will
pay for the tent), damage to the canoe, paddles, cushions, and/or lifejackets,
losing the canoe, paddles, cushions, and/or lifejackets, coming in late,
search and rescue for you and/or others in your party, damage to property of
others, losing camping gear ($200 per outfitted box, individual pieces are
charged at replacement price of item). You are responsible for the actions of
the others in your party once you send in your CCA. You will be charged for
any of the following if you or others in your party park unauthorized vehicles
on our property, camp unauthorized on our property, ride unauthorized on our
bus, dock unauthorized vessels, and use and/or damage our equipment.
Unauthorized means those who did not pay to use of any Canoe Outpost
equipment, vehicles, or property or did not sign in properly. You will also be
charged a $20.00 per hour per person plus tax clean-up fee if Canoe Outpost
has to clean up a campsite after you, clean any property on the river that you
left trash on, or has to do a river clean-up because you and your friends were
pigs on the river and that's a stupid thing that people do!
